Job Summary

In accordance with the objectives, policies and procedures of the Behavioral Service department is responsible for providing individualized patient care/interaction, maintaining confidentiality in all patient, hospital, and physician related information; demonstrates complete discretion when discussing patient information and demonstrating supportive and understanding communication and behavior when in contact with guests, always displaying positive guest relations. Effectively interacts with patients, families and healthcare members while maintaining standards of professionalism.

Duties/Responsibilities

  • Demonstrate supportive and understanding communication and behavior when in contact with guests (patients, visitors, clients, physicians, employees, interns, volunteers, etc.), always displaying positive guest relations.
  • Maintain discretion with sensitive, confidential information in communication with in-house staff, outside vendors and consultants.
  • Assist the Office Manager and MH&W Administration with various projects or work by assisting with data collection, reports, communication follow-up, organizing and maintaining files as well as coordinating various paperwork/documents associated with each project.
  • Receive and screen telephone calls and personal callers, providing information with discretion and courtesy, answering inquires or re-directing as necessary
  • Assist in maintenance and review of Mental Health & Wellness Policy & Procedure files
  • Participation in cross training of front desk role; accepts assignments to other units/shifts as need requires
  • Demonstrates ability to assess self-learning needs and seeks assistance to meet those needs.
  • Demonstrates an ability to perform effectively in emergency/stressful situations.
  • Complies with DOH requirements for annual health assessments and required immunizations.
  • Actively participates in in-service programs, attends all mandatory classes as required; completes unit-specific competencies; participates in meetings and committees as assigned.
  • Makes recommendations and suggestions for positive procedure changes, understands and supports the need for change in work, policies, or procedures. Adapts easily and willingly to changes in job responsibilities.
  • Use computer programs (Meditech & MPM) for data mining for projects such as Quality reporting, Meaningful use, PQRS and productivity and patient flow.
  • Compose correspondence, memos, reports, minutes and spreadsheets as required
  • Attend meetings as required and participate on committees as assigned
  • Perform other duties as directed by supervisor

Required Skills/Abilities

  • Word Processing, typing, verbal and written communication, spreadsheet and database development skills.
  • Ability to work in fast paced office environment
  • Ability to complete daily, weekly, and monthly tasks in a timely manner, inclusive of but not limited to processing mail, scanning, and other Finance support activities.
  • Ability to complete all department documentation accurately as assigned
  • Ability to assume responsibility for reading and comprehending all posted minutes and memos
  • Ability to routinely use policy and procedure manuals and other reference materials as necessary to ensure the proper course of action
  • Ability to work within Front Office setting when needed, carrying out those duties such as:
    • Interview patient/guarantor to obtain and process accurate & complete patient information
    • Provide patients with required notices as needed
    • Complete all assigned duties scheduling during coverage
    • Efficiently schedule routine and non-routine patient appointments using the scheduling program
  • Limited travel may be required
Education And Experience

Associate degree in secretarial science or the equivalent education/experience preferred. Sufficient previous office experience required. Word processing, typing, verbal and written communication, spreadsheet and data base development skills. Health Care experience preferred.

Physical Requirements

Ability to regularly spend long periods of time sitting and using office equipment and computers. Ability to regularly move from sitting to standing positions effortlessly. Ability to regularly use hands and fingers to handle, control or feel objects. Ability to regularly hold the arm and hand in one position or hold the hand steady while moving the arm. Ability to regularly see details of objects that are less than a few feet away. Ability to regularly speak clearly so listeners can understand and understand the speech of another person. Ability to frequently bend to file and maintain files. Ability to occasionally lift 5-10 pounds.

Pay Range: $17.00-$20.40/hr

Employee salary is based on commensurate experience and other qualifications.
